DATABASE COORDINATOR

POSITION SUMMARY
The Database Coordinator is an integral part of the San Diego Automotive Museum’s Development team, responsible for managing and maintaining the integrity of the organization’s customer relationship management database (CRM) and other online fundraising platforms. This role reports to the Director of Development and ensures accurate and timely data entry in CRM, processes all gifts, including timely acknowledgment letters, and provides key support and donor analysis to drive successful fundraising campaigns, events, grants, sweepstakes, and donor stewardship.
Key Duties and Responsibilities:
Database Management & Maintenance
- Create, update, and maintain donor and constituent records, ensuring all records are up to date
- Perform regular database maintenance and monthly cleanups to ensure data accuracy and integrity
- Act as staff liaison to CRM and other platform support to troubleshoot tech issues
- Develop and maintain Standard Operating Procedures (SOPs) for database management, gift processing, and acknowledgement letters
- Assist with the creation and maintenance of the CRM field structure and donor segmentation fields
- Provide staff training on CRM and other platforms
- Maintain Museum Data Map with platform integrations and assist in finding tech solutions to streamline operations
- Process all monetary, in-kind, artifact, and vehicle gifts from all sources promptly and accurately in CRM
- Write and edit donor acknowledgment letters, maintaining templates in letter generation app
- Prepare and mail End-of-Year donation summary letters
- Track donor recognition names and requirements, ensuring donor signage and printed and digital materials are up to date
- Create and manage reports in CRM for reconciliation with accounting
- Create reports and analyze data for campaigns and events
- Generate and export mailing lists for direct mail and email campaigns
- Create and maintain constituent segments for targeted communications
- Assist with the creation and maintenance of a department dashboard to track KPIs, fundraising metrics, and donor trends
Event, Campaign, & Stewardship Support
- Create, test, and manage online fundraising webforms for general donations and specific campaigns
- Set up event pages for fundraising events and ensure proper integration of event records into CRM
- Set up sweepstakes site for annual sweepstakes and ensure proper integration of sweepstakes records into CRM
- Maintain pledge lists, generating invoices and following up on payment as needed
- Maintain RSVP and attendance lists for events in events platform or CRM as required
- Act as staff liaison to mail house for direct mail campaigns
- Track and update all donor communications and stewardship deadlines in CRM
- Organize and maintain donor files, especially gift documentation and donor recognition records
- Prepare donor call lists and gift reports for the Director of Development and CEO
JOB QUALIFICATIONS
- Associate’s or Bachelor’s degree preferred, or equivalent experience in database management, fundraising, or related field.
- 1-2 years of relevant experience; nonprofit fundraising experience strongly preferred.
- Experience with CRM software and email marketing systems required (Salesforce & Mailchimp preferred); proficiency with OneCause and related online fundraising platforms is a plus.

FUNDRAISING EVENTS MANAGER
Salary: $72,000-$80,000 commensurate with experience

POSITION SUMMARY
The San Diego Automotive Museum seeks a highly organized and detail-oriented Fundraising Events Manager to drive revenue through our signature fundraising events and donor cultivation activities. Reporting to the Director of Development, the Fundraising Events Manager will play a critical role in raising funds by implementing best practices and strategies to plan and execute events, solicit sponsors and community partners, and engage and deepen the Museum’s relationships with our donors and the San Diego car community.
Key Duties and Responsibilities:
Fundraising and Revenue Generation (50%)
- Develop and implement strategies to sell tickets and secure sponsorships and donations for the Museum’s major annual fundraising events, including:
- THE Party in the Park (Annual Gala);
- Cruising for Drivers Golf Tournament; and
- Shifting Gears Car Rally
- Identify, solicit, and cultivate relationships with corporate sponsors, individual donors, and community partners for events.
- Create compelling sponsorship packages tailored to potential supporters that maximize value to the Museum and the sponsor.
- Track and manage sponsorship and donation commitments, ensuring proper fulfillment of benefits.
- Secure in-kind donations for auctions, raffles, and event-related needs.
Event Management and Execution (25%)
- Provide staff support to the Museum’s Gala, Golf, and Rally Committees comprised of board members, major donors, Museum volunteers, and other staff
- Plan and execute smaller donor cultivation-focused events such as:
- Donor Appreciation Breakfast at the La Jolla Concours
- Exhibit Opening Receptions (2-3 annually)
- Coordinate logistics, including venue selection, contracts, catering, entertainment, and audiovisual needs.
- Work with Director of Development to develop and manage event budgets, ensuring financial goals are met or exceeded.
- Supervise and collaborate with vendors, ensuring all timelines and deliverables are met.
- Manage event-day of operations, including on-site setup, execution, and breakdown.
Relationship Building and Stewardship (15%)
- Build and maintain relationships with donors, sponsors, and vendors to encourage ongoing support.
- Create and implement donor stewardship plans to thank donors and sponsors and provide reports on the impact of their contributions.
Marketing and Communications (10%)
- Work with the Museum’s marketing consultant to create printed collateral including event invitations, flyers, pitch decks, etc. to drive attendance and engagement.
- Draft event-related copy for email campaigns, social media, and website content.
JOB QUALIFICATIONS
- Three to five years of demonstrated success in identifying, soliciting, cultivating, and stewarding event sponsors, donors, and community partners for nonprofit special events such as galas and golf tournaments.
- Proven experience managing nonprofit events, with a strong track record of exceeding fundraising goals.
- Exceptional project management skills, including the ability to handle multiple events, deadlines, and budgets simultaneously.
- Excellent relationship-building and communication skills
- Ability to work independently with minimal supervision, exercising sound judgment and initiative to accomplish tasks while maintaining clear communication and collaborating effectively with team members as needed
- Detail-oriented with the ability to manage logistics, contracts, and event timelines.
- Strong copywriting skills, with experience creating engaging event-related content.
- Proficiency in donor databases and event management software (Experience with Salesforce and OneCause preferred)
- Proficiency in compiling and analyzing events-related donor data to guide decision-making strongly preferred
- Exercise confidentiality in dealing with donors and sensitive financial matters
- Familiarity with development practices and obligations for 501(c)(3) organizations
- Proficient with Microsoft Suite of tools, including Word, Excel, Outlook, and OneDrive
- Flexibility to work evenings and weekends as required by event schedules.
- Bachelor's degree preferred.
- A passion for the Museum’s mission and enthusiasm for the automotive industry is a plus.
